In this Privacy Statement we inform you about how, why and which personal data Otto Bock Equipment B.V. (Ottobock Equipment) processes about you as a customer, supplier, job applicant, etc. We have made this Privacy Statement to be transparent towards you, because transparency is a great value within the company.

Collected and processed personal data

Ottobock Equipment collects and processes the following personal data:

  • Your name (first name, surname and initials);
  • The name of the company (only with business customers/business contacts);
  • Your gender (only to contact you with the right title);
  • Your address;
  • Your place of birth and your date of birth;
  • Your e-mail address;
  • Your business phone number and your personal phone number;
  • Your fax machine number;
  • Camera images collected by the security camera’s (if you pass a camera, the camera will take automatically an image of you);
  • A copy of your identity card or passport (we need this copy to verify if you are the person concerned the personal data when you send us a request to delete personal data for example);
  • The licenses and certificates that you achieved (by a job application);
  • Your work experience and references (by a job application);
  • A proof of enrolment of your education (only by internships);
  • Pictures from the open days of our company;
  • Your signature (by signing contracts for example);
  • Financial (personal) data (bank account number, quotation, etc.);
  • Your profession (only with business customers);
  • Data from the Chamber of Commerce (for example an annual report);
  • The country where you as a customer or supplier are established;
  • Your language.

In addition to the personal data above, we can collect and process other information that you send to us by e-mail or tell us by phone. This is information that we did not especially ask for.

Purpose of the data collection

We will collect and process the personal data to:

  • Create a photo album;
  • Give you an answer to your questions (for example a question about a machine that you have bought);
  • Conclude a contract;
  • Deliver your order;
  • Give you the best service to carry out maintenance or to schedule service appointments;
  • Process your job appliance;
  • Improve our services (to keep up with targets for example);
  • Fill in a receipt of delivering your order;
  • Keep up with the payroll administration;
  • Keep up with the customer administration;
  • Keep the software updated;
  • Write down the number of the company visitors per day (this is necessary to evacuate the visitors when there is an emergency);

Collecting personal data from minors

Ottobock Equipment does not process personal data from minors under the sixteen years old. If we need to process personal data from minors (for example a labor contract) we will contact the legal representative for consent.

Exchange personal data Ottobock Equipment

Ottobock Equipment shares a part of the personal data within the company and the Ottock group. Examples of this personal data is order details such as the delivery address.

Organisational and technical (security)measures

Ottobock Equipment took different measures to protect your personal data as well as possible. Ottobock Equipment ensures that your personal data will be processed in a conscious way. All the staff members and interns have signed a document of confidentiality. The staff members also participate in a GDPR class about how to process personal data in accordance with the GDPR.

Ottobock Equipment features an antivirus software and confidential documents will be kept in locked cabinets. Ottobock Equipments has also concluded agreements with processors to ensure that the processors will operate at the same safety level as Ottobock Equipment.

Storage periods

Ottobock Equipment uses the following storage periods for processing your personal data. Ottobock Equipment stores your personal data not longer than necessary.

Personal data Storage period
Job application details Four weeks after closing application procedure or one year after closing application procedure with consent from the job applicant.
Camera images Four weeks after collecting the camera images. If there has been an accident then the images will be stored until the procedure has been completed.
Financial data Seven years from the moment that the administration is recorded.
Other personal data If the personal data is no longer necessary to reach the goal.
